How to Save PowerPoint ( PPT) Presentation as a PDF File

Saving your PowerPoint document as a PDF file is a quick way to produce PowerPoint presentations that are ready to be printed, reviewed or emailed. PDF retains all formatting that you apply, whether the recipient has a font, style, or theme installed on their computer. In addtion, PDF files are easy way to forward your presentation to someone because they cannot be edited or modified.

Note: The information in this article can be applied to PowerPoint 2019, 2016, 2013, 2010; PowerPoint for Office 365, PowerPoint Online, and PowerPoint for Mac.

Save PowerPoint Presentations as PDF Files

Saving your PowerPoint presentation as a PDF file is as easy as accessing the standard Save As file menu. Follow the instructions below to export your presentation as a PDF so it’s easy to share.

Note: This section can be applied to PowerPoint 2019, 2016, 2013; PowerPoint for Office 365, and PowerPoint for Mac.

  • Open a PowerPoint presentation.
  • Choose File.
  • Select Save As.

  • Select the location and name for the file.
  • Select the File Format down arrow and select PDF (* pdf).
  • Selct Save to create your PDF. In PowerPoint for Mac, choose Export.

Note: Create a PDF file from your PowerPoint presentation when you want to print a file or email for review. Animations, transitions, and sounds are not activated in PDF documents. PDF files can be edited using special additional software.

Save PowerPoint 2010 Presentations as PDF Files

If you are running Office 2010, the instructions for saving your PowerPoint as PDF are slightly different. Follow these steps to complete the work:

Note: This section applies to PowerPoint 2010.

  • Open a PowerPoint presentation.
  • Choose File.
  • Select Save & Send.
  • Select Create PDF / XPS Document.
  • Select the location and name for the file.
  • Select Publish to create your PDF.

Note: If you use PowerPoint Online, Select File> Download As> Download as PDF.

If you want to change the slides and other content contained in the PDF file, select Options from the Save As dialog box. This opens the Options dialog box where you can choose the range of slides to convert to PDF, as well as the publishing options for notes, leaflets, and outlines.
